Required Education:

• Fluent in speaking, reading, and writing English

• Intermediate MS Office skills
• Accurate data entry skills
• Strong analytical skills
• Ability to work overtime and participate in on-call rotation
• Ability to troubleshoot and adjust travel arrangements
• Ability to work effectively with frequent interruptions
• Ability to manage time and meet deadlines
• Ability to work collaboratively with internal departments
• Successful work experience in an office environment

Preferred Qualifications/Skills/Experience:
• Prior experience booking travel
• Previous experience within the organization
• Experience assisting or coaching team members

Travel Coordinator Overview:
• The Travel Coordinator supports healthcare providers traveling across multiple states by arranging and managing all logistics, including air travel, hotels, and rental cars
• This role operates in a fast-paced environment and requires strong communication, organizational, and problem-solving skills
• The Coordinator ensures travel arrangements remain within budget, manages last-minute schedule changes, and collaborates with various departments to maintain compliance with organizational standards
• Additional responsibilities include participating in team meetings, maintaining accurate records, taking weekend call on a rotating basis, and responding effectively to supervision and coaching
• This role requires reliability, strong time-management, and the ability to work both independently and as part of a team while handling frequent interruptions and shifting priorities

Job Duties:
• Arrange provider travel while staying within budget
• Troubleshoot and modify existing travel arrangements
• Communicate travel changes to providers and internal departments
• Work collaboratively with other teams to meet compliance standards
• Assist, coach, and coordinate with team members
• Participate in staff meetings, training, and conference calls
• Complete reports as requested by leadership
• Maintain a neat and orderly work area
• Work assigned schedule consistently and be on time
• Take weekend on-call rotation
• Perform other related duties as assigned

Estimated Start Date:
• 01/05/2026

Travel:
• Required to support provider travel arrangements (administrative-no personal travel required)

Specific Details to Call Attention To:
• This is a hybrid onsite schedule:
o In-office: Tuesday and Wednesday
o Remote: Monday, Thursday, and Friday
o Regular schedule: 11 AM - 7 PM
• Requires strong multitasking skills in a fast-paced, interruption-heavy environment
• Must be comfortable taking weekend on-call rotation
• Prior travel-booking experience is highly preferred
