Summary of Position

The person performing this job provides general administrative support to the instructional personnel in the Office Technology Department by working closely with the coordinator and faculty to plan, develop, and administer effective instructional programs in the department. The incumbent exercises independent judgment and organizational ability in providing administrative assistance to help ensure the success of the students which the department serves.
Education and Experience
High school diploma or GED required. Four years wage earning clerical experience, or certification / successful completion of relevant trade school (30 college credits) and one-year wage earning clerical experience.
A copy of certificates and/or college transcripts required with application for evaluation purposes.

Knowledge Skills and Ability

  • Proficiency with computer software including popular business productivity suites, specifically Microsoft Office.
  • Ability to troubleshoot computer software and hardware problems.
  • Proficiency with general office machines including typewriter, facsimile, copiers, and ten key.
  • Ability to interact with students, faculty, and other staff.
  • Ability to interpret and implement system-wide policies and procedures.
  • Demonstrated oral and written communications skills.
  • Ability to work with minimal supervision.
Essential Functions
  • Provides general administrative support to include: managing telephone calls, word processing of correspondence, maintaining all departmental files, manipulating spreadsheets, copying, faxing, preparing travel requests and requisitions, and preparing contracts and teaching agreements as necessary.
  • Assists faculty in preparation and maintenance of course syllabi and instructional materials.
  • Manages departmental inventory of computer hardware, troubleshooting problems and making work order intervention as necessary.
  • Installs, updates, and maintains software programs on department computers.
  • Maintains inventories of non-computer equipment and supplies, with judicious ordering and distribution of same.
  • Manages the creation and revision of course schedules and interfaces with production of Schedule Bulletin.
  • Assisted the department coordinator in preparation and tracking of budget usage throughout the year
  • .Is familiar with campus-wide accreditation activities including participation in departmental Quality Enhancement Program.
