Description
GENERAL PURPOSE
Performs a wide variety of specialized administrative duties in support of the municipal court including the initiation, processing, and maintenance of legal documents, correspondence and statistics; and to provide informationand assistance to the public.
SUPERVISION EXERCISED
Employee has no supervisory responsibilities.
ESSENTIAL DUTIES AND RESPONSIBILITIES
CORE COMPETENCIES:
Learns, and correctly interprets, and applies the laws, codes, policies and procedures related to the processing of criminal court cases.
Assists the public in person, by mail/email and by telephone including retrieving information and files, and providing complex information to defendant's regarding their criminal court case.
Prepares and explains court orders and procedures to defendants.
Files defendant motions.
Processes judgments and compliance dismissals in accordance with standing judicial orders.
Administers oaths.
Receipts, deposits and accounts for monies for fines, forfeitures, and other court receipts by automated means.
Schedules court dates for trials, arraignments and teen court.
Responds to counter, telephone, email and mail inquiries.
Assesses fees as required by statute.
Scans court documents into the court system.
Operates a computer terminal and printer to type, enter, modify and retrieve a wide variety of court documents, reports, records, letters and other material.
Ability to make sound judgments and decisions.
Adheres to assigned work schedule as outlined in the Department and City attendance policies and procedures; ensures all behaviors comply with the City's Personnel Rules and Regulations.
Performs other duties as assigned.
May serve on a variety of employee committees.
REQUIRED MINIMUM QUALIFICATIONS
EDUCATION AND EXPERIENCE:
1. Graduation from high school or equivalent; and
2. One (1) year of customer service experience, including collection of cash; and
3. One (1) year of prior work experience in clerical or administrative work; or
4. Any equivalent combination of education and experience.
KNOWLEDGE, SKILLS AND ABILITIES:
1. Working knowledge of computer applications.
2. Considerable knowledge of general office procedures; working knowledge of legal language and legal procedures.
3. Skill in operation of the listed tools and equipment.
4. Ability to communicate effectively on a one-to-one basis with the public; ability to maintain effective working relationships with employees, other departments, officials and the public; ability to work under pressure and/or frequent interruptions.
5. Ability to maintain accurate records; ability to type and enter data accurately.
6. Ability to adapt to constant change.
7. Maintains regular and punctual attendance.
SPECIAL REQUIREMENTS
1. Must have a valid driver's license by date of hire.
2. Must obtain and maintain a Texas Driver's License within 90 days of hire.
TOOLS AND EQUIPMENT USED
Personal computer, word processing software; central Municipal Court computer system; telephone; scanner, copy and fax machines.
