Job-Type:Full time Reports to:Campus Principal Wage/Hour Status:Non-Exempt Duty Days Assigned:226 days Job Goal: Provide secretarial and administrative services for the Campus Principal Qualifications: Education/Certification: • High School Diploma or GED required Experience: • Two years of experience as a school secretary • Bilingual (preferred) Skill Requirements: • Ability to work well with children • Work in a variety of settings, with multiple ages and grade levels • Adapt with patience and flexibility to frequent changes in schedules • Collaborate professionally and communicate effectively with other staff Performance Responsibilities: • Receives visitors and telephone calls; screens those which can be handled without principal's help. • Composes and types correspondence, memoranda, reports, forms, and similar materials in final form and submits to appropriate entity. • Maintains principal's calendar, schedules meetings, and prepares materials for those meetings. Processes incoming and outgoing mail. • Processes all office paperwork, meeting established deadlines. Establishes and maintains appropriate files and other information, searches files for information. • Compiles, maintains, and files all reports, records and other attendance/registration documentation as described in Student Attendance Accounting Handbook and PEIMS Data Standards. • Obtains and maintains adequate materials, supplies, and uniforms. • Utilizes office technology and automation to complete tasks and operates office machines such as electronic typewriter, computer, calculator, fax machine, copy machines; keeps machines in operational readiness. • Determines priorities and maintains office controls to ensure a timely accomplishment of tasks. • Acts as campus coordinator for open enrollment. • Coordinates staff luncheons, and assists with staff development, retirement ceremonies, and all other staff functions. • Issues office keys and keys to secured areas as needed. • Answers questions which require a detailed knowledge of school procedures. • Maintain confidentiality. • Perform other duties assigned by supervisor. • Demonstrate behavior that is professional, ethical, and responsible. Physical Effort and Work Environment: • Services are generally provided within an office environment. • Frequently required to talk or hear. • Some movement throughout the office is generally necessary (e.g., standing, walking, stooping, bending, sitting, feeling, reaching, and/or kneeling). • Light lifting of materials and other objects associated with an office environment is required (e.g., books, supplies, up to approximately 20 - 40 lbs.). • This position may involve rare exposure to blood or body fluids. • Regular attendance is required for this position.
