Executive Assistant (Public Works)
This position provides support to the Executive Director of Public Works by effectively managing his/her schedule and performing a wide variety of responsible, complex, and confidential administrative, secretarial, analytical, and research duties.
The employee will have the responsibility of:
• Providing professional administrative support to the Executive Director of Public Works and Assistant Director of Public Works and keeping abreast of Department and Division activities.
• Assisting in the development and implementation of short- and long-range plans and goals for the Public Works Department
• Conducting complex and routine administrative, organizational, regulatory compliance, tracking, and scheduling assistance for the Department; Preparing, editing and distributing a variety of correspondence to include reports, forms, and other documents, on behalf of the Department; Reviewing the daily reports from the divisions and provides a consolidated summary report daily.
• Monitoring and researching new trends, technologies and products in public works profession and utilize that information to summarize and recommend more efficient and cost-effective solutions
• Performing complex administrative, organizational, regulatory compliance and scheduling assistance for the Public Works Department
• Assisting with annual budget creation, preparation, and implementation; monitoring and reconciling budget revenue and expenditures throughout the fiscal year
• Preparing requests for quotation, obtains purchase orders and processing invoices for payment using Microsoft Office Suite and the HTE software
• Developing, coordinating, and maintaining record keeping and filing systems and personnel records. Creating and maintaining a system for organizing and storing both electronic and hard copy information and records and ensures compliance with record retention policies and procedures
• Coordinating activities, programs and meetings between divisions, departments, citizens, City Council, and federal, state, and local entities

Required Minimum Qualifications
Education and Experience:
• Graduation from high school or equivalent; and
• Two (2) years of increasingly responsible related administrative support experience; or
• Any equivalent combination of related education and experience.
• Internal Association of Administrative Professionals (IAAP) certification or equivalent preferred
Special Requirements:
• Applicant must have a valid Texas driver's license by date of hire and comply with City of Killeen driving policy
